At a glance
A customer wants to return a product, but the order shipped internationally from China. Before issuing an address, decide where the return should go, whether that location accepts it, what it will cost and how the received item will be assessed. A store refund and a warehouse restocking decision are separate actions.
Start with the reason and the order
Match the customer request to the original order, SKU, quantity and shipping reference. Record the stated reason without treating it as an inspection finding. A wrong-size request, a missing accessory and reported damage may require different evidence and a different response.
Follow the store's published policy and applicable obligations when deciding the customer-facing response. This planning guide does not determine a customer's legal entitlement or replace destination-specific advice. Keep the operational return instruction consistent with the decision made by the authorized seller.
Confirm a receiving route before giving an address
Do not send goods to a supplier or China warehouse address simply because it appeared on an earlier document. Confirm acceptance, the receiving contact, reference format and any product or route restrictions. Discuss required customs information with the responsible carrier or broker.
Compare the expected return transport, receiving, inspection, rework and storage costs with the intended outcome. Returning a low-value item internationally may have a different commercial case from recovering a high-value item, but the seller must make that decision within its obligations.
Create an identifiable return record
Use an authorization or return reference connected to the original order. Identify expected items and quantities, any tracking reference, the receiving instructions and the decision required after receipt. Avoid putting unnecessary customer data on broadly shared warehouse documents.
Shopify supports a return workflow in its order management. A platform return record does not itself confirm that the physical goods have arrived at a warehouse or are suitable for resale. Reconcile the system record with the received item.
Inspect before releasing stock
For a hypothetical clothing return, the parcel may contain the expected SKU but lack its original packaging or show signs of use. A warehouse receiving count answers how many items arrived. The agreed assessment determines whether those items should be restocked, held, reworked or handled another way.
| Received condition | Decision to specify |
|---|---|
| Identified and acceptable under the agreed criteria | Who may approve release into available inventory? |
| Identity or quantity differs | What evidence and investigation are required? |
| Repacking or repair may be possible | Who approves the work and cost? |
| Unsuitable for resale | What authorized disposition is permitted? |
Keep returned goods separate from available stock until the decision is recorded. Refunding an order should not automatically add a unit back to saleable warehouse inventory.
Define the service instead of assuming a network
Ask fulfillmentyx which receiving and inspection work can be agreed for the actual goods and location. This is not a claim that every destination has a local return facility. If a destination-side provider is involved, confirm its separate address, scope and transfer process.
Provide the return reason, product, expected condition, origin country and proposed outcome when discussing the work. A clear plan states who authorizes transport, who pays, who assesses the item and who updates the stock record.
Frequently asked questions
Can customers send returns directly to the China warehouse?
Only after the receiving route, address, reference and acceptance terms have been confirmed for that return. Do not issue an unverified or historical address.
Does a refund automatically make stock available again?
No. The physical item must be received and assessed under the agreed process. Keep refund, receipt and stock-release records distinct.
Does fulfillmentyx provide local return addresses everywhere?
No such network is claimed here. Confirm the actual receiving location and service scope for your product and destination before authorizing a return.
