Plan creator merchandise preorders with an order freeze, stock readiness checks, approved packing instructions and a controlled batch release from China.

At a glance

The preorder closes with several shirt sizes, two bundle options and customers in different countries. Production is still arriving. Creator merch fulfillment becomes easier to control when the project separates promised orders, accepted inventory and approved dispatch waves. Set the dispatch schedule from those records, including the goods and instructions still outstanding.

Freeze the version of each reward or product bundle

Keep a final product file that identifies each garment variant, accessory, insert and packaging material. If a bundle changes after the preorder opens, record which customer orders belong to which version. The packing team needs a specific instruction for each order type.

An attractive product mockup does not establish the physical package. Ask for an approved packing example showing how the goods, protective materials and presentation components fit together. Record the finished dimensions for transport planning.

For a planning example, a bundle contains a shirt and a poster. The shirt may be ready while the poster is still at another supplier. Complete-bundle availability should reflect both components. Shipping the shirt first is a separate decision that affects transport costs and the customer's experience.

Reconcile the order file before importing it

Use a stable order reference and a controlled file version. Remove canceled orders according to the agreed process, resolve product choices and separate address queries before the release file is approved. Keep an audit copy so a later correction can be traced to the original import.

Decide how the project handles address changes between preorder and dispatch. A cutoff can organize work, but it needs a clear acknowledgement process. The creator's support inbox and the warehouse order system should not carry competing versions of the same customer's address.

Keep personal information limited to what is needed for the fulfillment task. Share it through the agreed account process and confirm the handling arrangements with the provider.

Receive production by component and variant

Check each supplier delivery against its packing list. Record quantities accepted, held and still expected. A supplier saying production is complete does not establish that every variant has arrived or passed the agreed receiving checks.

Promotional materials need the same attention. A thank-you card or branded sleeve can become the missing component that prevents a finished order from leaving. Give those items identifiers and include them in the replenishment conversation.

Release a wave that can actually be completed

Group orders using practical criteria such as complete-product availability, destination and the approved service. Keep the reason for each group visible. A wave should not hide customer orders that still lack a component or a usable address.

Release a wave that can actually be completed
Release questionEvidence needed
Is the complete product available?Accepted stock for every required component
Is the delivery address ready?Approved current order record
Can the proposed service carry the product?Product and destination review
Can support explain the order status?Wave reference and handover records

Avoid describing the whole campaign as shipped when only the first wave has left. Communicate the event relevant to each customer's order.

Plan the after-dispatch work

Keep replacement stock, damaged-item decisions and undeliverable parcels in the project plan. Agree who approves a replacement and how its components are reserved. A replacement order should remain connected to the original reference without being confused with a duplicate import.

fulfillmentyx's creator and ecommerce workflows can bring supplier deliveries, preparation and customer-order packing together in China. Send the product file, preorder structure and destination mix before promising a release schedule. A controlled first wave gives the project evidence for the next one.

Frequently asked questions

Should every preorder leave on the same day?

Only choose that plan if complete stock, order information and transport arrangements support it. Separate waves may be more practical when suppliers or destinations differ. Make the grouping and customer communication explicit so one incomplete product does not silently hold every otherwise ready order.

How much replacement stock should I hold?

Base the decision on the product, observed issues and the cost of replenishing missing components. There is no universal percentage that suits every campaign. Record who owns the reserve, which events can consume it and when unused units may be released for normal sale.

What if a customer changes a size after the file is approved?

Send a traceable change request and wait for confirmation before promising the change. The warehouse needs to check the order's current stage and the replacement variant's availability. Update the stock reservation and order instruction together so the original size is not still prepared.
