At a glance
“Please check the goods” can mean a carton count to one person and a full product test to another. A useful warehouse inspection request identifies the products, checks, sampling or full-count scope, reference standard and action required when a difference appears. Agree these details before goods are released for customer orders or onward transport.
Separate receiving from product inspection
Receiving establishes what has arrived under the agreed inbound process. It may include carton identification, unit counts or visible condition checks, depending on the service. Do not assume it includes opening every retail package or operating every product.
Product inspection needs a more specific instruction. A visual check for a garment's color differs from measuring its dimensions or checking whether an electronic item functions. Some work may require tools, expertise or conditions outside a warehouse's agreed service.
Provide a usable reference
Send approved product photographs, the SKU and variant map, a packing specification and any measurements relevant to the requested check. Identify the current version. A warehouse cannot reliably judge a packaging revision against an old supplier image without knowing which version was approved.
For a hypothetical clothing receipt, the instruction might be to confirm the marked size, visible color and included hangtag against approved references. If actual garment measurements are needed, specify the measurement points and permitted tolerances rather than asking whether the fit “looks right.”
State the inspection population
Define whether the request covers all units or a specified sample, and how cartons and units will be selected. Sample results do not establish that every unexamined unit has the same condition. If a formal sampling plan is required, agree its method and acceptance criteria with a qualified party.
Record which cartons were opened and how inspected units should be returned to storage. Inspection can affect packaging condition, seals and preparation work. Allow for those consequences in the task rather than discovering them at dispatch.
Define evidence and exceptions
An exception report should identify the inbound reference, SKU, affected quantity and observed issue. Photographs should make the issue recognizable while avoiding unnecessary exposure of customer or order data. State whether the warehouse should hold all related units or only the identified exceptions.
The account then decides whether to accept, rework, return or request further examination. Assign who can authorize relabeling or repacking. A warehouse should not silently substitute a different product or change a supplier's commercial specification.
Keep compliance responsibilities explicit
Warehouse checks are not a substitute for laboratory testing, product certification or destination-market compliance review. A visible label or intact retail box does not prove that a product meets applicable safety rules. Arrange any specialist verification required for the goods and destination separately.
fulfillmentyx provides inspection and FBA preparation services within an agreed scope. Send the product references, expected quantity, requested checks and release conditions when asking for a plan. Confirm the method, reporting and price before the warehouse starts the work.
Frequently asked questions
Does inspection mean every unit is opened?
Only if that is the agreed scope. Confirm the population, sampling approach and what opening or testing involves, including how packaging will be restored afterward.
Can warehouse inspection certify a product for sale?
A warehouse inspection does not itself establish product certification or legal market eligibility. Those questions require the relevant documentation and, where applicable, qualified specialist assessment.
What happens when the warehouse finds a mismatch?
Use the agreed hold and reporting process. The report should identify affected stock and evidence, while the authorized account contact decides the commercial response and release instruction.
