At a glance
International parcel tracking records events in a shipment's journey. A label-created event, carrier acceptance, customs event and final-mile delivery event describe different stages. Use the actual wording, timestamp and carrier context before telling a customer where a parcel is or when it will arrive.
Distinguish data creation from handover
A tracking number can exist before the carrier has physically received the package. DHL's tracking guidance distinguishes shipment information received from collection and movement events. A store notification based on label creation should not be described as proof of physical dispatch.
For an order inquiry, first match the store order, warehouse release and carrier reference. Confirm which event has occurred and which party holds the next evidence. If handover has been recorded but no carrier event appears, investigate the gap through the agreed support process rather than replacing it with an assumed delivery date.
Read scans in sequence
Look at the latest event together with earlier events and timestamps. A processing hub may be located in a different city from the recipient. A scan location alone does not establish that the parcel was addressed incorrectly.
Keep time zones in mind when comparing warehouse records with carrier events. The aim is to establish a defensible sequence, not infer movement from the order in which two systems happen to display their updates.
| Event type | Useful next question |
|---|---|
| Shipment information received | Has physical handover been confirmed? |
| Carrier acceptance or collection | What is the next movement milestone? |
| Customs-related event | Is a document, instruction or other action requested? |
| Final-mile handover | Is there a local carrier reference or update? |
| Delivery event | What delivery evidence is available if the recipient disputes receipt? |
Exact wording varies between carriers. Use this table to guide an investigation, not as a translation of every carrier status code.
Handle customs messages with the responsible party
A customs event may request more information or simply record progress. Read the specific message. Confirm who is responsible for responding and what information the carrier or broker needs. Do not promise release merely because a document has been sent.
Keep sensitive customer and shipment information within the authorized support channel. Public tracking explanations should not expose invoices, personal addresses or account credentials.
Preserve the link through final-mile delivery
Some routes involve another carrier for the final leg. Keep both references connected to the original order if a new tracking reference is issued. Confirm how updates reach the store and which contact handles a delivery exception.
For a hypothetical support case, an international record shows a final-mile handover while the local carrier reports an address question. The next useful action is to verify the requested address information through the authorized process. Quoting a generic international transit estimate does not resolve that exception.
Give the customer a specific update
State the latest confirmed event, its date, any action required and the next point at which you will review it. Separate an estimate from a confirmed event. Where the carrier has not provided a delivery date, avoid inventing one to make the message sound complete.
fulfillmentyx provides order and shipping coordination from China. Supply the order reference and tracking number when raising an exception so that warehouse release and carrier events can be checked together.
Frequently asked questions
Does label created mean the parcel has left the warehouse?
Not by itself. It establishes that shipment information exists. Check warehouse handover evidence and the carrier's physical acceptance event separately.
Does a scan in another city mean the address is wrong?
Not necessarily. Parcels pass through processing hubs. Review the event description and the full sequence before drawing a conclusion from the location.
Who should respond to a customs request?
The party responsible under the shipment arrangement should coordinate the response with the carrier or broker. Identify that party and the actual request rather than assuming the warehouse can resolve every customs issue.
